What's inside Opcie
A workflow engine for rental businesses. Compose operating modes from reusable parts, then let the same engine handle bookings, prices, documents, emails, PDFs, attachments, payments, receipts, permissions, audit, and the website piece — for every one of them, in parallel.
This page is product depth for early conversations: what the platform already models, and why it is more than a booking form.
Workflows you design. As many as your business actually has.
The workflow is the thing you build in Opcie. It defines the steps a rental moves through — what gets booked, who reviews what, when payment happens, what proof you keep, what the customer sees on your website.
Designed once. Enforced every time.
Required steps stay required. Optional steps stay optional. Once a step is confirmed, it locks into the record. If something has to change later — extension, cancellation, swap, refund, early return — the platform handles it as a clean revision without overwriting the original.
- Required payments can't be skipped at handover
- Required photos can't be skipped at return
- Required signatures can't be skipped before the contract is issued
- Every change after the fact stays traceable
- Emails, PDFs, and receipts can be tied to confirmed phases
Multiple workflows per business
Run different workflows for different audiences and operating modes — at the same time, on the same business.
- Online booking and walk-in counter — same fleet, different prices, different steps
- Partner channel with its own rules
- Long-term contracts on monthly billing
- Internal maintenance blocks that just hold an asset off the calendar
- Self-service flows where the customer does more of the work themselves
Built from a handful of parts
Every rental answers the same six questions, whatever you're renting. You set them up once for your business. Then you compose them into workflows.
When?
Hourly with operating windows. Daily or nightly with check-in / check-out rules. Sessions with fixed start times. Monthly or seasonal contracts. Each workflow picks its own time model.
What?
Asset types you define — your fields, your photos, your filters, your card layout. Group identical items together or show each one individually. Mixed fleets supported in a single workflow.
Where?
Multiple branches. Multiple locations within a branch. Cross-branch fees and travel time built into availability. Pickup at one place, return at another — or same-branch enforced when you need it.
Who?
Customer types for people and companies. Quick intake for walk-ins. Full profile when you need more. Additional drivers or participants with their own pricing. Verification sections staff approves per document.
How much?
Hourly, daily, seasonal pricing curves. Rules that stack — weekend surcharges, long-rental discounts, last-minute premiums. Deposits and protection plans. Different prices per workflow.
What proof?
Photos at pickup and return, time-stamped. Terms accepted with timestamp. Signatures captured on screen. Contract, reservation, and booking numbers issued automatically. Receipts generated as part of the workflow.
Pricing that fits reality
Not a price table — pricing that adjusts to seasons, peak hours, durations, channels, and the way your customers actually book.
Curves, not tables
Set different prices for different hours of the day or different months of the year. The platform calculates the right rate for any window — no spreadsheets, no manual date ranges.
Rules that stack
Weekend surcharge. Long-rental discount. Last-minute premium. Low-availability adjustment. Stack them or guard against stacking.
Different prices per workflow
Walk-in customers and online customers can use different pricing for the same item. Partners can have their own rates. Long-term customers can be on a separate book entirely.
Deposits, protection, extras
Built into the same place that sets your base rate. Damage responsibility, security amounts, protection plan choices — all connected to billing.
Per-group pricing
One pricing model can cover multiple variants — size, tier, category — without copying rules across every individual asset.
See the rules in action
A scenario preview shows how rules affect a real rental — base price, adjustments, total — before customers ever see it.
Customers, documents, and trust
Customer records that match how your business operates, with document handling that doesn't go stale.
Forms that match your business
Quick-add a customer for walk-ins. Full profile when you need more. Different forms for individuals, companies, additional drivers, participants.
Documents that staff approves
Driver licenses, IDs, insurance, contracts. Staff approves per section. The platform notices when an approved document is about to expire and asks staff to check again — automatically, every day.
No accidental duplicates
If two customer records look like the same person, the platform shows them side by side and lets you merge safely — rewriting references on every past rental so history stays intact.
Availability that knows where things are
Most rental software answers "is it free?" with a yes or a no. Opcie does more.
It knows the asset moves
If a car is being returned at one branch and the next customer wants to pick it up at another, the system knows how long it takes to get there — and offers the earliest time it can actually happen.
- Travel time between branches
- Travel time between locations within a branch
- Pre-rental and post-rental buffers for cleaning and inspection
- The asset's current location, derived from its last rental
It proposes alternatives
When a booking can't happen at the requested time, the system doesn't dead-end the customer. It returns the nearest window that works.
- "Available until..."
- "Available from..."
- "Available between..."
- "Next available on..."
Same engine drives availability for staff and for the customer-facing widget. One source of truth.
Take money your way
Cash, card, online, payment links, QR codes. Receipts go out automatically.
Multiple ways to pay
Cash recorded by staff. Online card payment. Payment links sent to customers. QR codes at the counter. Card terminal support where your provider allows it.
- Self-service online checkout for customers
- Staff-collected cash, link, QR, or terminal
- Advance payment, balance later, or pay at pickup
- Different payment providers for different methods if you want
Verified by the bank, not by the browser
Payment status only counts when the payment provider confirms it — no false "paid" because a browser tab closed. And every payment is recorded the moment it's collected, separately from the booking, so nothing is ever lost.
- Server-side verification on every online payment
- Payments survive a crash between collection and confirmation
- Independent reconciliation between payments and receipts
- A clear screen that flags anything that doesn't line up
Communications, PDFs, and attachments
The workflow does not stop at execution. Opcie can send the right message and document package when the rental reaches the right moment.
Messages tied to phases and events
Send different emails for reservation, preparation, pickup, return, payment received, cancellation, refund, extension, or asset swap. The message is connected to the workflow moment that produced it.
- Reservation confirmations
- Pickup instructions and signed contracts
- Return summaries and condition evidence
- Payment and receipt notifications
- Policy messages for changes after the rental starts
One document system for email and PDF
The same sections can render in email and PDF: dates, billing, customer details, task fields, signatures, condition photos, terms, receipts, and asset documents. Attach static PDFs, shared media, or per-asset documents when the workflow needs them.
- Generated PDFs from confirmed workflow data
- Shared attachments such as terms, guides, or rental documents
- Per-asset PDFs for multi-asset rentals
- Preview and test before sending
Your customers on your website
An embed on your own site where your customers do the part of the workflow you choose to give them — without ever leaving you for a third-party portal.
Much more than a booking form
Your customers book, upload documents, sign contracts, pay, view their receipt, and come back later to do the next step. All on your domain, in your brand.
- Book a rental online
- Upload IDs, licenses, or other required documents
- Accept terms and sign contracts
- Complete payment and view receipts
- Manage and look up an existing booking
- Continue into later steps — verification, pickup signature, return photos
They can pause and come back
Customers don't have to finish in one sitting. They can pause on any step and come back later by email or reference number — useful for verification, signatures, and pickup checks that happen on different days.
- Save progress mid-flow when allowed
- Resume later by email or reference number
- Continue into later customer steps when the workflow allows it
- Staff-only and behind-the-scenes steps stay hidden
Self-service isn't a separate product — it's a workflow where the customer does more steps. You decide where the line is.
Web, iPhone, Android
Same business, same data, everywhere.
Web
For the desk, setup, configuration, and reporting. Full-featured, runs in any modern browser.
iPhone
Native app for staff at the counter, in the car park, on the boat. Photos, signatures, and condition checks where the rental actually happens.
Android
Same native experience. Same data. Same workflow. Your team picks the device.
Users, roles, permissions, and multiple businesses
Built for operators who need different people to do different work, sometimes across more than one business.
Controlled access per business
Each business has its own assets, customers, pricing, workflows, team members, and role assignments. Nothing is shared unless you choose to share it.
- Separate data per business
- Independent workflows and pricing
- Different teams and roles per business
Permissions for real operations
Owners, admins, counter staff, operations staff, finance users, and seasonal workers do not need the same controls. Permissions decide who can configure setup, edit assets, approve documents, collect money, issue receipts, manage users, or view audits.
- Role-based permissions per business
- Owner in one business, employee in another
- Instant context switching without mixing authority
A built-in assistant
An in-app helper that knows the screen you're on and what you can configure there. It explains settings, suggests workflow shapes, and answers "how do I…" questions without making you leave what you're doing.
Trust and ownership
Designed for businesses that take operational trust, payments, and audit seriously.
Your data lives in your own account
Every business on Opcie runs on its own cloud account, owned by you. Your customers, bookings, photos, and receipts live there — not pooled with other businesses. We connect to it. We don't keep it.
A clear record of what happened
Every confirmed step, every payment, every receipt, every change made after the fact — recorded, never overwritten. If anything ever needs to be looked into, the record is there.
